Swan Christian Education Association (SCEA) is seeking a Project Administrator to support the successful delivery of ICT and Digital Services projects across our network of seven Christian schools. This permanent, full-time role, based in Midland, plays a key role in coordinating projects, procurement, rollout activities, and implementation planning that strengthen technology services across SCEA.

Working closely with the ICT Projects and Procurement Manager, you will help ensure projects are well planned, actions are followed through, documentation is accurate, and stakeholders remain informed throughout every stage of delivery.

Key Responsibilities

  • Project Coordination – Support the planning and coordination of ICT projects, rollout activities, and operational implementations across SCEA schools and Central Office.
  • Project Administration – Maintain project plans, schedules, action registers, risk and issue logs, meeting records, and implementation documentation.
  • Procurement Administration – Coordinate purchasing workflows, vendor communications, quotations, approvals, order tracking, and procurement records.
  • Implementation Support – Assist with rollout planning, operational readiness, training coordination, communications, and service transition activities.
  • Stakeholder Coordination – Prepare project updates, organise meetings, coordinate communications, and build effective working relationships with schools, vendors, and ICT staff.
  • Governance & Reporting – Maintain accurate records, prepare reporting and dashboard inputs, and support continuous improvement of project administration processes.

Essential Criteria

  • Demonstrated Christian faith and alignment with SCEA’s mission, Christian ethos, and Statement of Faith.
  • Relevant qualification in administration, business, project coordination, information technology, or a related field, or equivalent professional experience.
  • Demonstrated experience in project administration, project coordination, procurement administration, or operational support within a complex organisation.
  • Strong organisational skills with the ability to manage multiple priorities, deadlines, and competing tasks.
  • Experience maintaining project documentation, registers, schedules, meeting minutes, and workflow tracking.
  • Excellent written and verbal communication skills with strong attention to detail.
  • Ability to work collaboratively with technical and non-technical stakeholders.
  • Confidence using Microsoft Office, spreadsheets, document management systems, and project or workflow tracking tools.

Desirable

  • Experience working within education, government, or not-for-profit organisations.
  • Experience supporting ICT projects, technology implementations, procurement, or rollout activities.
  • Familiarity with project management, procurement, and service transition processes.
  • Experience using project or workflow management platforms such as Jira, Monday.com, or similar.
